Occudule turns school and activity emails into a clear family hub. Microsoft inboxes are processed automatically. Gmail users forward the messages they want Occudule to handle. In both cases, you confirm whether each message is an Event or Info, then choose to save it or discard it.
If you have not finished account setup yet, start with how to create and set up your free Occudule account.
Before you begin
- Complete your Family Profile, including each child’s school and any other education institutions (clubs, teams, or programs). Occudule uses those names and email domains to recognize relevant mail.
- Connect a Gmail or Microsoft mailbox (Outlook, Hotmail, Live, or MSN) for school mail. See how to create and set up your free Occudule account if that step is still open.
- Gmail users should also add Occudule Forward to Google Contacts. That step is in Platform-Specific Email Setup in the same setup guide.
Step 1: Send school emails to Occudule
Microsoft users (Outlook, Hotmail, Live, or MSN)
After your mailbox is connected, you do not need to forward anything. Occudule watches your inbox and processes incoming messages related to the schools and institutions on your Family Profile.
When a matching email arrives, you receive a push notification on your phone. Tap it to open Occudule. You are taken to Notification Center, with the unread notification at the top of today’s date.
Gmail users
Occudule does not scan your Gmail inbox automatically. Forward the school or activity emails you want processed to your unique Occudule address.
- Open the email in Gmail and tap Forward.
- In the recipient field, type Occu or Occudule. Your exclusive forwarding address should autofill if Occudule Forward is in Google Contacts.
- Tap Send.
Then open Notification Center in Occudule. The forwarded message appears as an unread notification at the top of today’s date. If you do not see it yet, tap the refresh icon at the top of the screen.
Need the forwarding address or Add to Contacts steps? See Platform-Specific Email Setup in the free account guide.
Step 2: Open the confirmation in Notification Center
Tap the unread notification to open the confirmation details screen.
Occudule groups each message into one of two types:
- Event Confirmation — a specific activity with details such as content, a deadline, or requirements.
- Info Confirmation — reference information for parents that is not tied to a particular event.
Step 3: Confirm the email type
At the top of the confirmation screen, Occudule asks you to confirm whether the message is an Event or Info.
The suggested type is correct in most cases. If it is not:
- Tap No.
- The confirmation template switches to the other type so you can continue.
Step 4: Process or discard the email
After you confirm the type, two buttons appear at the bottom of the screen:
- Yes, process — saves the details shown on the confirmation screen to the matching Event or Info tab in Occudule.
- No, discard — discards those details. They are not saved to your Event or Info tabs.
Choose Yes, process when you want Occudule to keep the schedule or reference information. Choose No, discard when the message is not something you need in the app.
If email syncing stops later, follow how to reconnect your email account in Occudule. For a broader look at filtering, extraction, and the family hub, see the Occudule features outline, or download the app.
