Privacy Policy
Last Updated: April 26, 2026
Overview
This Privacy Policy describes how Outvblue Technology Inc. ("Outvblue," "we," "us," or "our"), a corporation registered in Ontario, Canada, collects, uses, discloses, and protects information when you use our Occudule mobile application and related services (the "service").
Occudule is designed for parents and guardians managing family and school-related information. We take privacy seriously, including information about children that you choose to add to your account.
If you do not agree with this Policy, please do not use the service. Where local law requires a separate legal basis or consent (for example, optional crash diagnostics), we will rely on consent or another basis as described below.
1. Who we are and how to contact us
The organization responsible for personal information processed through the service is Outvblue Technology Inc., registered in Ontario, Canada.
For privacy questions or requests, contact us at support@occudule.com.
2. Information we collect
We collect only the information necessary to provide the service:
| Data Category | What We Collect |
|---|---|
| Parent Data | Name, email address, and preferred language |
| Child Data | Name, date of birth, and grade — used only to categorize events and provide filtered views for the parent |
| Institutional Data | School names and email domains and address allowlists you enter in each child’s profile settings. These values are used to decide which incoming messages may warrant your attention. Where we support it, matching may include subdomains of a domain you specify (for example, mail from a subdomain of a school domain you entered). |
| Subscriptions (in-app) | In-app subscriptions are paid only through the Apple App Store or Google Play. Apple or Google process those payments. We do not receive your full payment card number for those purchases. We receive subscription status, product identifiers, renewal events, and related metadata through RevenueCat in combination with Apple’s and Google’s platform APIs. RevenueCat does not replace the store as your payment processor. We do not use Stripe (or similar card processors) to charge you for in-app subscriptions in Occudule; those purchases are completed only with Apple or Google through their respective stores. |
Connected email accounts (Gmail and Outlook)
Forwarding messages to Occudule
- We provide you with a personal inbound email address on our domain so you can forward school-related messages from your mailbox (whether you use Gmail, Outlook, or another client). The address is tied to your account and is designed so only you can use it as intended.
- When you forward an email, the content of that message is received by a provider we use to receive inbound email and is processed through our existing email filtering and extraction pipeline. We may verify that the message appears to come from the sync email address you configured in the app before we treat it as yours.
- Adding calendar events from mail that arrived via this forward path typically requires your confirmation in the app (for example, on an Event Confirmation screen) before a new event is saved — as described in the product.
Microsoft Outlook / Microsoft 365
- If you connect Outlook, we use the permissions you grant to access messages as needed to provide the app’s features (for example, subject lines, senders, and message content) to extract school-related events and to-dos, consistent with your connection and our in-app descriptions.
Google Gmail
- If you connect Gmail, we use the Google permissions you grant for the features shown when you connect (for example, mail or calendar sync, if enabled). Those features are separate from forwarding: you may forward specific messages to your Occudule inbound address so we can process them through the same pipeline as other mail you send us.
| Data Category | What We Collect (email-related summary) |
|---|---|
| Forwarded email | The content of messages you forward to your Occudule address, plus headers needed to process them and to verify they match your configured sync email where we apply that check |
| Connected account (Gmail / Outlook) | Per the permissions you authorize at connection time, which may include message content for sync features as described in the app |
We also collect device type, OS and app version, language, time zone, and similar technical data needed to run and secure the service; push notification tokens if you enable notifications; and, if you opt in under Settings, crash and stability diagnostics processed by Google Firebase Crashlytics (see the in-app "Crash reporting" screen for details and how to withdraw consent).
In-app live chat (Zoho SalesIQ)
When you choose Live chat from Contact Us in the app, the chat experience is delivered through Zoho SalesIQ (Mobilisten), operated by Zoho Corporation and its affiliates as a service provider to Outvblue. Zoho may process the content of your chat messages, technical identifiers associated with your device or session, IP address, and other data described in Zoho’s Privacy Policy to operate chat, route conversations to our support team, and help prevent abuse. Processing for that feature occurs on Zoho’s systems according to Zoho’s policies. Please avoid sharing payment card numbers, account passwords, or unnecessary sensitive personal information in chat; you may use Send feedback (email) when a live conversation is not needed.
If you paste or describe information about children in chat, you do so at your own discretion; we ask that you share only what is needed for your support request.
3. How we use your information
We use the information we collect for the following purposes:
- AI extraction: To summarize school-related emails and help create calendar events (including from mail you forward into Occudule or from connected mailboxes, as described in the app). Where the app requires it, we ask you to confirm before a new event is added.
- Event management: To detect scheduling conflicts between your children's activities.
- Notifications & alerts: To send reminders and notifications about upcoming school deadlines and events.
- Rule matching: To compare incoming mail (including forwarded mail and synced mail, depending on the feature) against domains and allowlists you entered in child profile settings.
- Subscriptions: To validate entitlements and provide support using RevenueCat and store APIs, as described above.
- Customer support: To respond when you contact us, including through optional live chat operated by Zoho SalesIQ as described above.
We do not sell your personal information. We do not use your email content for third-party advertising profiling.
4. Data security & storage
- Encryption in transit: All data transmitted between your device and our servers is encrypted using TLS.
- Encryption at rest: Stored data is encrypted at rest where we apply such controls.
- Limited access: Only the systems necessary to operate the app process your data. We do not sell your personal data or your children's data to any third party.
- In-app payments: Payment for in-app subscriptions is handled only by Apple or Google as applicable. We do not use Stripe for those in-app subscription charges.
5. Data sharing
We do not sell, trade, or rent your personal information. We may share data only in the following limited circumstances:
| Scenario | Details |
|---|---|
| Service providers | Trusted third-party providers who are contractually bound to keep your data confidential, including for example cloud hosting, Apple and Google (in-app purchases, sign-in, and platform services), Microsoft (Outlook / Microsoft 365 where you connect it), RevenueCat (subscription status and entitlement management), Google (Firebase / Crashlytics) when you opt in to crash reporting, Zoho Corporation (Zoho SalesIQ / Mobilisten) when you use in-app live chat, and a provider we use to receive inbound email when you forward messages to Occudule |
| Legal requirements | If required by law, court order, or governmental authority |
| Account deletion | Upon account deletion, personal data is removed from our active systems per our retention policy |
6. International transfers
Outvblue is based in Ontario, Canada. We may process and store information in Canada, the United States, and other countries where we or our service providers operate. Where required, we use appropriate safeguards (such as standard contractual clauses approved by regulators) for transfers from the EEA, UK, or Switzerland. Contact us for more detail on transfers relevant to you.
7. Children's privacy (COPPA / GDPR-K–oriented practices)
This app is intended for use by parents and guardians — not by children under the age of 13 on their own behalf.
- We do not knowingly collect data directly from children without appropriate parental authorization.
- All child data is entered by the parent or guardian account holder.
- Parents and guardians may view, edit, or delete child profiles and may delete their entire account via the app where those features are offered.
If you believe we have inadvertently collected information from a child under 13 without proper consent, contact us at support@occudule.com and we will take steps to delete the information.
8. Your rights
Depending on where you live, you may have rights to access, correct, delete, or export personal information, object to certain processing, or withdraw consent where processing is consent-based. You can manage many choices in the app (including disconnecting email, toggling crash reporting, and adjusting notifications).
If you are in Canada, you may have rights under applicable Canadian privacy law (including the Personal Information Protection and Electronic Documents Act, where it applies), such as the right to access personal information we hold and to challenge its accuracy and completeness, subject to legal exceptions.
If you are in the EEA, UK, or Switzerland, you may lodge a complaint with your local data protection authority if you believe we have not resolved your concern.
California residents may have additional rights under the CCPA/CPRA. We do not "sell" or "share" personal information as those terms are defined under the CPRA for targeted advertising.
To exercise rights, contact support@occudule.com.
9. Data retention
- Your data is retained for as long as your account is active and as needed to provide the service.
- Upon account deletion (where offered), we delete or de-identify personal information within a reasonable period, except where we must retain limited records for legal, tax, or security purposes (for example, billing records required by law, or backup systems until overwritten).
- Crash logs retained by Google are subject to Google’s retention practices and your opt-in status.
- Chat transcripts and related data held by Zoho for SalesIQ are retained according to Zoho’s policies and our configuration with that vendor.
10. Changes to this Policy
We may update this Privacy Policy from time to time. When we do:
- The "Last Updated" date at the top of this page will be revised.
- If changes are material, we will notify you as required by applicable law (for example, via push notification or in-app alert).
